01Who this policy covers
Owners and property managers who hold an account, tenants who receive rent links or fill their details through a link, vendors who receive repair jobs, and visitors to this website.
For tenant and vendor information entered into an account, the owner or property manager decides why it is collected. We process it on their behalf to provide the Service.
02Information we collect
- Account details: name, email, role, number of units, cities and plan.
- Property records: addresses, units, photos, documents, utility account numbers, taxes and expenses that you add.
- Tenant records: name, contact details, occupants, emergency contact, ID documents, police-verification acknowledgements, agreements and checklists.
- Payment records: amounts, dates, methods and status of rent paid through payment links. Card and bank credentials are handled by the payment gateway and never reach us.
- Repair records: descriptions, photos, vendor details, costs and status.
- Usage data: device, browser, pages used and error logs, to keep the Service secure and working.
03How we use it
- To send rent links, receipts, reminders, repair updates and statements.
- To prepare renewal reminders and drafts from agreements you upload.
- To produce AI rent suggestions from listings and anonymised rent history. Tenant personal information is not used for rent suggestions.
- To provide support, prevent fraud and meet legal obligations.
04Tenant ID documents
ID documents and verification records are encrypted at rest and in transit. They are visible only to the owner and to managers the owner has authorised for that property. Every view is logged in the property's activity history.
We do not use tenant ID documents for any purpose other than storing them for the owner.
05What we never do
- We never sell or rent personal data.
- We never score or rank tenants.
- We never filter or screen tenants by religion, caste, gender, food habits or other personal characteristics.
- We never hold rent or deposits. Payments settle directly to the owner's bank account.
07Retention
Account and property records are kept while the account is active. After an account is closed, records are deleted within 90 days, except where the law requires longer retention, for example financial records.
Owners can delete a past tenant's ID documents at any time from the tenant's profile.
08Your choices and rights
- Owners can export all their data in Excel and PDF formats at any time.
- Owners can correct or delete records, and close their account.
- Tenants and vendors can ask the owner who added them to correct or delete their information, or write to us and we will pass the request to the owner.
- Anyone can opt out of marketing emails using the link in each email.
09Security
We use encryption in transit and at rest, role-based access for managers, activity logs and regular backups. No system is perfectly secure, and we will notify affected owners promptly if a breach affects their data.
10Changes to this policy
If we change how personal data is handled, we will notify account holders by email before the change takes effect.
